Manage a Held Order via Streamlined Order Entry

1 Access streamlined order entry and retrieve a patient as described in Initiate a Lab Order.

Note: If the legacy Order Entry page appears, and no banner with a link to streamlined order entry appears at the top, see Manage a Held Order via Legacy Order Entry.

2 In the Patient’s Pending Orders title bar, click Get Pending Orders.

The section displays a list of the patient’s held, scheduled, and standing orders:

If the patient has no pending orders, the Patient’s Pending Orders section does not appear.

After you click Get Pending Orders, the number of pending orders for the patient appears in parentheses in the Patient’s Pending Orders title bar. You can subsequently hide these orders by clicking Hide Pending Orders, and see them again by clicking View Pending Orders.

Generic orders are not included. To manage those orders, see Manage a Held Order via the Hold List or Manage a Held Order via Legacy Order Entry.

To view a list of the tests and diagnoses in the order, position the pointer over or . (The split order symbol indicates that a Quest Diagnostics or contracted phlebotomist split the order manually, filing some of the tests but putting others on hold.)

If any of the order codes are invalid or require clarification, an appropriate message appears instead of the test name.

For held orders created via eLabs, the Draw Date column reflects the date when the order was put on hold. If a third-party held order has a future specimen collection date or time, that information appears rather than the date when the order was created.

For orders created via eLabs, the Created By column includes the user name of the person who created the order. For third-party-orders, this column displays EMR.

If a held order has any report comments or internal comments, you can position the pointer over to view them.

If any information is too long to display in its entirety, an ellipsis (...) appears. You can position the pointer over the displayed information to see the complete information.

3 Do one of the following:

File or edit a held order:

a Position the pointer over the Actions link for the held order that you want to file or edit, and then click Edit.

The Order Entry page displays all of the information contained in the order, and the Patient’s Pending Orders title bar displays the requisition number being accessed.

Note: If the order is currently being accessed by someone else, appears next to the status in the Patient’s Pending Orders section. If you position the pointer over this symbol, the person’s user name appears, along with the date and time that the person accessed the order. (This symbol can also appear if someone accessed the order and then closed the browser without logging out.)

If you edit a locked order, a prompt appears, asking if you want to override the lock; click OK. You can file or edit the order, but only the last changes made to the order are implemented.

b If a prompt appears, advising you that the order has a future collection date, type the reason why you are filing or editing the order at this time in the Comment box, and click OK.

After the order is filed, this comment appears in the requisition log in the audit history for this order.

c Make any appropriate changes to the order.

You can typically change any aspect of the order except the patient’s SSN or patient ID, as well as the lab or client. For some clients, you cannot change an existing lab reference ID.

Notes:  

If this order was manually split from another order placed by a Quest Diagnostics or contracted phlebotomist, the Report Comments box displays the date that the original order was split and the requisition number(s) associated with the original order.

If this order was transferred from the requisition log by a Quest Diagnostics or contracted phlebotomist, the Internal Comments box displays the requisition number associated with the original filed order. (If the filed order included its own internal comments, the requisition number is appended to the end of those comments.)

If the order includes only ICD‑9 codes, and there is a one-to-one correspondence between an ICD-9 code and an ICD‑10 code, the corresponding ICD-10 code automatically replaces the ICD-9 code. Any ICD-9 codes that do not have a single corresponding ICD-10 code are retained in the order and identified as written diagnoses on the requisition when you file the order. If the insurance carrier requires a diagnosis, written diagnoses do not satisfy that requirement, and you must add an ICD-10 code before you file the order.

If the order includes any order codes that are no longer valid (for example, if the lab no longer performs a particular test, or if the client is no longer allowed to order it), a message advises you of this. You can add different tests, as appropriate.

If an order code in a third-party order requires clarification, a message appears in the Tests section, indicating the order code and test name received from the external system. You can use this information to search for the correct test and add it to the order.

If an external system added or removed any tests, a message appears in the Tests section, indicating which order codes were added or removed.

If an external system sent more than the maximum allowed number of order codes, a message indicates which codes were ignored. You can manually create a separate order for the ignored codes.

For third-party orders that have a future specimen collection date, the projected date that appears in the Draw Date column does not appear on the Order Entry page. Unless you are putting the order back on hold, you must provide the appropriate collected or scheduled date.

If the order includes an alternate order code, that code is automatically replaced with the primary order code.

d Do one of the following:

To print the requisition and labels, remove the order from the hold list, and send it to the lab electronically (if appropriate), click Finalize.

To save your changes and keep the order on the hold list, click Save.

To discard your changes and keep the order on the hold list, click Cancel.

Delete a held order:

a Position the pointer over the Actions link for the held order that you want to delete, and then click Cancel.

b When the confirmation message appears, click OK.

Note: If the held order is no longer available (for example, if it was filed by someone else after you retrieved the patient), a message advises you of this. Click OK. The order is removed from the list.
