Managing Batches

If an order was placed for a client that supports batching, that order is added to the batch queue—that is, the list of orders that will be grouped based on the transport temperature of the collected specimen. If you can place orders and have been assigned a client that supports batching, you can manage the batch queue.

Note: Orders placed by PSC employees and contracted phlebotomists are never added to the batch queue, even if the client supports batching. Those orders are always sent directly to the lab.

In some instances, you might have to update an order in the batch queue—for example, if the specified transport temperature is not correct. In these instances, you can edit the order.

You can also place an order in the batch queue on hold (for example, if you decided to add another test but do not yet know which one). When you do this, the order is removed from the batch queue and placed in the hold list.

If you decide that a test is not needed before you create a batch, you can delete the order from the batch queue so that it is not sent to the lab when you create the batch.

For any orders that you do not place on hold or delete, you must create batches. When you do this, all of the orders in the queue are automatically sorted by transport temperature, internal batch numbers are automatically assigned, and the requisitions are sent to the lab electronically.

The number of orders in each batch is determined by the configuration of the lab. For example, if there are 50 room temperature orders in the queue, and the lab supports only 30 orders per batch, the 50 orders would be split into two batches—one with 30 orders and one with 20 orders.

When you create batches, you can print a batch manifest—that is, a list of the orders included in the batch. The date and time that the batch was created appear at the top of the manifest. The configuration of the lab determines whether or not bar codes are printed on the batch manifest, as well as how much space is added between orders on the manifest. You can print the batch manifest up to seven days after the batch has been created.
