Filter the Requisition Log
1 In the menu bar, click Requisitions > Requisition Log.
|
Note: The Requisitions menu appears only if you can place orders with your current lab. |
2 If the filter criteria are currently hidden, click Show.
The Filter area displays the current filter criteria.
If you previously filtered the requisition log using different criteria, those criteria appear automatically (unless the filter would retrieve more than 200 orders). For example, if you previously limited the log to only orders for a particular patient, then only that patient’s orders will appear. (The filter criteria are saved only if you apply them by clicking Search.)
If the current filter criteria meet your needs, go to step 11.
To change the filter criteria (for example, to view orders for only one or more particular patients, only orders for which final results have been received, or only generic orders), go to step
|
Tips: • To restore the default filter criteria, click Reset. • To hide the filter criteria, click Hide. The Active Filter area displays a summary of the current filter criteria. You can click Show to show the full filter criteria again. •
|
3 If you want to view the orders that were filed at a different facility, in the Facility list, click the appropriate facility.
4 In the Labs list, select the check box for each lab whose orders you want to include in the requisition log.
This list displays all of the labs that have been assigned to you. If you can access only one lab, that lab appears in the Labs box; no check boxes appear.
If multiple labs appear, you can optionally select the All Labs check box at the top of the list to select all of the listed labs, or clear that check box to clear all of them. You must select at least one lab.
|
Note: If you subsequently select All Filed Orders or Redirected Orders in the Order Type list, the requisition log will include all orders that originated from the specified labs, even if the tests were not performed there. |
5 To view the orders associated with a particular requisition number, patient, application user, physician, or lab reference ID follow these steps:
a In the Search list, click the option that indicates what kind of information you want to search for:
• Requisition (the requisition number)
• Patient Name
• Patient SSN
• Username (the user name of the person who placed the order)
• Physician Name
• Lab Reference ID
b In the By box, type the text that you want to search for.
Only orders that contain matching text will appear in the requisition log.
If this box is blank, this filter criteria is not applied.
|
Notes: • If you clicked Requisition, Patient SSN, or Username in the Search list, you must type the complete requisition number, SSN, or user name. The requisition number must be seven digits long. If it is not seven digits long, type an appropriate number of zeros in front of the number. For example, if the requisition number is 1234, you must type 0001234. You can see the SSN as you type it, but it becomes masked as soon as you move to another field, and only the last four digits are visible. To see the complete number again, click in the By box. • If you clicked Patient Name, you must type at least the first character of the patient’s last name. The requisition log will display orders for any patient whose last name begins with the specified characters. You can optionally type a portion of the patient’s last name, a comma, and at least the first character of the patient’s first name (such as • If you clicked Physician Name or Lab Reference ID, you can type any portion of the physician’s first or last name, or the lab reference ID. The requisition log will display any name or ID that contains the specified characters. For example, if you click Physician Name and type |
c If you typed a requisition number in the By box, a Search By Client box appears as soon as you press Tab. Type the complete client number associated with the requisition.
6 To view only orders with a particular accession status, in the Accession Status list, click the option that indicates the kinds of orders you want to view:
• All Requisitions (all filed orders that match the other specified criteria)
• Pendings Only (orders that have not yet been accessioned by the lab)
• Received Only (orders that have been received by the lab but for which no tests have been performed yet)
• Partials Only (orders for which one or more tests have been completed, but one or more tests have not)
• Finals Only (orders for which all of the tests have been completed)
• Cancels Only (orders that have been canceled by the lab)
|
Notes: • If a selected lab does not support this feature, this setting is not used to filter the search results. • For labs that support this feature, all non-electronic, generic, and standing orders have an accession status of Pending. If you choose anything other than All Requisitions or Pendings Only in the Accession Status list, and then choose Non-Electronic Filed Orders, Generic Filed Orders, or Standing Orders in the Order Type list, no matching orders will be found. • All orders for which an accession number was assigned during order entry have an accession status of Accessioned. If you choose anything other than All Requisitions in the Accession Status list, those orders will not be found. |
7 In the Order Type list, click which kind of orders you want to view:
• All Filed Orders. This includes all orders (electronic, non-electronic, generic, redirected, nationwide, Companion Diagnostics, and original standing orders) that were filed during the specified date range.
• All Filed and Archived Orders. This includes all orders that were either filed or edited during the specified date range.
• Electronic Filed Orders. This excludes generic, non-electronic, and original standing orders, but includes filed instances of a standing order for labs that receive their orders electronically via this application.
• Non-Electronic Filed Orders. This includes only orders that were filed with performing sites that do not receive their orders electronically via this application. It excludes original standing orders, but includes filed instances of a standing order.
• Generic Filed Orders. This excludes original standing orders, but includes filed instances of a standing order.
• Redirected Orders. This includes only redirected orders, nationwide orders, and filed instances of Companion Diagnostics standing orders. (It excludes original standing orders.) For Companion Diagnostics standing orders, choosing this option includes orders that originated with the selected labs and clients,
• Pre-Authorization Orders. This includes only orders that require a preauthorization code for one or more tests. (The code might have been provided or might be missing.)
• Standing Orders. This includes all original standing orders. (Information about filed instances appears in the Standing Order Information area when the order is expanded.)
• Remote Filed Orders. This includes orders that were filed under their originating performing site by a user who does not normally have access to that site. For example, a PSC employee or IOP user who filed a donor or post‑transplant order that was placed on hold at one lab, and was automatically granted temporary access (based on the order code) to file the order.
8 In the From-To Date boxes, type the date range when the order was placed, or click the date on the calendar.
For example, to view all orders that were placed today, you would type today’s date in both boxes. To view orders that were placed during an entire week, you would type Monday’s date in the first box and Friday’s date in the second box.
You can optionally omit the ending date. If you provide only a starting date, you will view all orders placed between that date and today.
You can also specify a date range in the future to view information about standing orders with a future starting date.
|
Tip: You can use any of the following shortcuts to specify the date: • Type • Type • Type • Type |
|
Notes: • If you specify the date using • If you include an ending date, it must be after the specified starting date. • If the specified date range becomes invalid later, the Filter area expands automatically and displays a message when you access the requisition log. For example, on July 7, you might specify a starting date of t-7 and an ending date of 7/7/2019, which would display orders from the past week. However, if you return to the requisition log on July 15, that date range would be rendered as a starting date of 7/8/2019 and an ending date of 7/7/2019, which would be invalid. |
9 To view orders placed during a specific time range, in the From-To Time boxes, type the time that the order was placed.
|
Tip: You can type |
If you leave the From-To Time boxes blank, the default time range (from 12:00 A.M. to 11:59 P.M.) is used.
|
Note: If you selected Generic Filed Orders in the Order Type list, the Show CPT Codes check box is cleared and inactive. You cannot display CPT codes for generic orders. |
10 To display brief information about each specimen that was provided when a template was completed, select the Show Template Info check box.
|
Note: If you selected Generic Filed Orders in the Order Type list, the Show Template Info check box is cleared and inactive; generic tests cannot be associated with templates. |
The number of matching requisitions appears in the bar at the top of the list (in parentheses after the word Orders). If fewer than 200 matching requisitions were found, they appear on the page.
If 200–1000 matching requisitions were found, the first 200 appear on the page, along with an alert message. You can click the link in the alert message to display all of requisitions, or change your filter criteria to limit the list further.
If 1000–5000 matching requisitions were found, the first 200 appear on the page, and you can change your filter criteria or click the link to access the Report Manager page and request an order report. Order reports can contain as much information as is supported by your version of Excel.
If more than 5000 matching requisitions were found, no requisitions appear on the page, only the alert message. You can change your filter criteria or click the link to access the Report Manager page and request an order report.
Typically, the filter criteria will be retained the next time that you access the requisition log. However, if the specified filter criteria result in more than 200 matching requisitions, the filter criteria will not be retained.
For information about the displayed data, see Requisition Log Content.
