Specify Standing Order Details

1 Select the Standing Order check box.

Note: If the specified client is an LTC client, and the patient uses a generic carrier, the Standing Order check box is cleared and inactive. You cannot place generic LTC standing orders.

2 If this standing order is for Companion Diagnostics tests, select the Companion check box and click the appropriate program in the list. Otherwise, go to step 4.

This check box appears only if the client is involved in at least one Companion Diagnostics program. When you select this check box, you will be able to order only tests that are part of the selected program.

Note: If you select the Home Draw check box, the optional Requested Draw Time list displays and the option to Save SO+Order is removed. Companion Diagnostics Home Draw Standing Orders can be seen on the Companion Master List page in addition to the Advanced Patient Search dialog box.

3 If a REMS ID box appears, type the appropriate Risk Evaluation and Mitigation Strategies (REMS) ID.

You can change this ID later by editing the standing order, but the REMS ID cannot be changed when an instance of this standing order is filed. (The REMS ID will appear on the requisition, in the requisition log, and on the Standing Order Management page.)

4 If the Requested Draw Time list appears, click the time of day when the specimen should be collected.

5 If the patient would like to receive a TestMinder® reminder prior to each specimen collection date, select the Send Reminder check box and go to step 6. Otherwise, go to step 8.

Notes:

If the lab does not support this feature, the Send Reminder check box does not appear.

The reminders are sent three days in advance of a weekly specimen collection date, and seven days in advance of a monthly collection date. No reminders are sent for a daily specimen collection.

The patient will not receive a reminder if the first collection date is fewer than seven days away. For example, if you create a standing order on Wednesday, and the first collection date is the following Monday, the patient will not receive a reminder for that appointment. However, a reminder will be sent for any appointments after the following Wednesday.

For LTC clients, sending standing order reminders is not recommended.

6 On the Reminder Notification dialog box, review the displayed information with the patient and do one of the following:

To have the reminder sent via email, in the Reminder Method list, click Email.

If the patient’s email address exists in eLabs, it appears automatically in the Email box. If no email address appears, or if it is incorrect, type the patient’s email address.

To have the reminder sent via a text message, in the Reminder Method list, click Text Message.

If the patient’s mobile telephone number exists in eLabs, it appears automatically in the Mobile Phone box. If no phone number appears, or if it is incorrect, type the patient’s mobile phone number.

Be sure to advise the patient that any text messaging charges apply.

To have the patient contacted by telephone, in the Reminder Method list, click Phone Call. In the Phone area, click the appropriate option (Home, Work, or Mobile).

If the specified type of phone number exists for the patient in eLabs, it appears automatically in the adjacent box. If no phone number appears, or if it is incorrect, type the appropriate phone number.

Note: For US phone numbers, you must include the area code. For international phone numbers (which begin with 011), the phone number can include up to 20 digits.

7 Click OK.

Notes:

If the patient subsequently wants to change the reminder method, email address, or phone number, click Edit next to the Send Reminder check box, make the appropriate changes on the Reminder Notification dialog box, and click OK.

Any email address or phone number that you provided will be automatically saved with the patient’s record as soon as you complete the order, even if you clear the Send Reminder check box. To change this information, click Edit in the Patient Information area.

9 To begin the standing order on a date other than today, in the Start box, type the appropriate date, or click the date on the calendar.

You can specify a past or future date.

Tip: You can use any of the following shortcuts to specify the date:

Type y for yesterday’s date.

Type t-# (where # is the number of days prior to today). For example, type t‑5 to specify the date five days prior to today’s date.

Type t+# (where # is the number of days after today). For example, type t+14 to specify the date two weeks from today.

Note: The start date cannot be more than 365 days from the current date (or whatever number of days is specified in the system for retaining pending orders).

Tip: To specify a future date, you can type t+# (where # is the number of days after today). For example, type t+14 to specify the date two weeks from today.

Note: The allowed date range for standing orders is determined by an administrator. Currently, the end date for non‑Companion Diagnostics tests cannot be more than 186 days from the start date. For Companion Diagnostics tests, the end date cannot be more than the maximum time frame defined for the specified program (such as five years).

11 If the Station-Rm field appears, type the patient’s station in the first box and room number in the second box.

If this information was previously part of the patient’s record, it appears automatically in this field.

12 If the lab supports standing order renewal letters, leave the Queue Renewal Letter check box selected to have the letter automatically faxed to the client (if the lab and client support that feature), or clear that check box to not have the letter automatically faxed.

Even if you clear this check box, you might be able to manually print the letter or have it faxed to the client (if the client has a fax number in eLabs). For more information, see Manage Standing Orders for a Specific Client or Facility.

If the lab does not support standing order renewal letters, the Queue Renewal Letter check box does not appear, and you cannot print or fax any standing order renewal letters.

13 In the Comments box, type any comments related to this standing order.

These comments appear whenever you review this standing order for this patient and in the requisition log, as well as on the master list that is used by mobile phlebotomists.
